The Real End-to-End Trade Lifecycle
Exovia Trade models the physical, commercial, and regulatory reality of international transactions at every step.
Lead Intake & Requirement Qualification
Inbound export or import inquiries are logged with country origin/destination, HS codes, volume, and target pricing. Operators record buyer and supplier counterparties, calculate preliminary commercial values, and schedule structured follow-up touchpoints.
Commercial Quotation & Negotiation
Operators construct formal quotations with line items, Incoterms (FOB, CIF, CFR), payment terms (Letter of Credit, TT advance), and line-item charges. Once dispatched to the buyer, any price or term adjustments create a revision while locking previous versions as Superseded.
Order Booking & Shipment Logistics
Winning a quotation transitions the agreement into an active operational job. Teams assign manufacturers, freight forwarders, and Customs House Agents (CHAs) while monitoring container IDs, seal numbers, vessel routes, ETAs, and customs clearance tasks.
Trade Document Generation & Audit Logging
Operators generate compliant international trade documents (Commercial Invoices, Packing Lists, Pre-Shipment Invoices, Advance Cargo Declarations) directly from populated job data. Every record modification, login, and send event is recorded in an immutable security audit trail.

Transparent & Secure Google Workspace Integration
Exovia Trade provides optional email connectivity so trade operators can send quotations and follow-ups from their own business email address while keeping communications linked to the correct trade deal.
Why Exovia Trade Requests Access to Google Email Services
In international commerce, buyers and suppliers expect commercial communications to originate directly from the authorized company email address they recognize, rather than a generic platform notification address.
When an organization administrator chooses to connect an email account via Google OAuth, Exovia Trade uses that connection solely to dispatch user-initiated trade quotations, execute scheduled follow-up steps, and link incoming correspondence with the relevant lead or shipment record.
Authorized Google OAuth Scopes & How They Are Used
Send Outbound Trade Communications
Allows Exovia Trade to send trade quotations, follow-up messages, and transaction updates directly from your connected business mailbox when requested by your team.
Verify Account Ownership
Allows the application during the OAuth callback flow to identify and confirm which Google email address was authorized and link it to your organization profile.
Read Relevant Trade Threads
Allows the platform to detect incoming buyer or supplier replies to previously sent trade inquiries and display them directly within the corresponding lead workspace.
Organize Communication Threads
Allows the application to apply organizational labels or read markers to trade messages processed inside Exovia Trade, preventing duplicate tracking.
Connecting an email account is entirely optional. All core ERP capabilities—including lead management, quotation calculations, shipment tracking, document generation, and audit logs—function normally without connecting a Google account.
You can disconnect or delete your connected email account at any time from Organization Settings → Email Accounts. Disconnection immediately purges all stored access and refresh tokens from our database.
All OAuth credentials and tokens are encrypted at rest in our PostgreSQL database using AES encryption. Tokens are never exposed to client browsers or returned in API queries.
Exovia Trade adheres strictly to the Google API Services User Data Policy, including Limited Use requirements. Your email data is never used for advertising, never sold, and never shared with external parties.
Rigorous Architecture Grounded in Code
Exovia Trade is engineered from the ground up for strict multi-tenant isolation, granular access permissions, and continuous operational auditability.
Strict Tenant Data Isolation
Every database query and storage interaction enforces tenant-level scoping. One organization's leads, quotations, documents, and counterparties are completely invisible and inaccessible to any other tenant.
Role-Based Access Control (RBAC)
Granular permission mapping controls user privileges across leads, commercial quotations, job execution, document issuance, and organization settings. Team invitations are secured by single-use signed tokens.
Immutable System Audit Trails
The platform maintains comprehensive audit records tracking user actions, entity creations, updates, status changes, timestamps, and client IP addresses for complete organizational accountability and security oversight.
Secure Document Generation
Commercial invoices, packing lists, and advance cargo declarations are generated with strict data consistency, encrypted in transit over HTTPS/TLS, and stored in protected cloud object storage with authenticated access proxies.
Account & Integration Controls
Users and organization administrators have complete control over connected email accounts, passwords, active sessions, and personal profiles, with direct options to disconnect mailboxes or request account closure.
Direct Support & Governance
We provide direct contact with our platform administrators at admin@exovia.trade for security inquiries, verification questions, and data management assistance.
